This Privacy Policy sets out how Encompass uses and protects any information that you give us. It covers all personal information that we collect about you – who you are, when you use our services, your travel information and bookings, when you access our website, contact centre or mobile applications etc.

Encompass is committed to ensuring that your privacy remains protected at all times. Should we ask you to provide certain information by which you can be identified, be assured it will only be used in accordance with this Privacy Policy.

Encompass may change this Privacy Policy from time to time by updating this page. You should check this page, on a routine basis, to ensure that you are happy with any changes. This policy is effective from 12 July 2016.

What personal information do we collect?

In addition to the profile information you have chosen to enter as part of the booking service we provide – which may include name, job title, addresses, telephone numbers, travel information, transactions etc – Encompass may also record how you use our services including how you access our website, contact centre and mobile applications. Encompass will only ever use your personal information with your express permission.

What do we use your personal information for?

  • To provide the ground transportation travel services that you have requested.
  • To communicate with you about the ground transportation travel services you have requested and address any queries you may have about those services.
  • To continually monitor and improve the ground transportation travel services we provide.
  • To send you from time to time marketing information and offers of additional services, which may be of interest (but only where we have your express permission to do so). Should you wish to ‘opt out’ of any marketing communications at any time, please send an email to including ‘Opt Out’ as the subject and we will ensure this is implemented as soon as possible.
  • For security purposes.

Who do we share your personal information with?

Encompass may, on occasion, need to share information (all or in part), with third party agencies, so that they can assist us in providing you with our ground transportation service. We do not sell personal information to third parties and we do not allow third parties outside Encompass to send you marketing information.

Some applications, e.g. the Encompass website, may contain links to third party websites of interest. However, once you have used these links, you should note that we do not have any control over third party website privacy policies. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites. Such sites are not governed by the Encompass Privacy Policy. We advise that you should exercise caution and thoroughly check all third party privacy policies, before submitting any personal information.

Please note we may also disclose your personal information if required to do so for the following reasons:

  • Under any obligation under law;
  • To enforce or apply any contract and/or other agreements with you;
  • To check with credit references agencies and/or anti-fraud screening service providers;
  • To protect our rights, property or safety of our customer, staff and assets.

How do we use Cookies?

Cookies are small data files (letters and numbers), placed on your computer or mobile browser by websites that you visit. They are widely used to collect website usage data and improve your online experience. The cookies contain a token which is used for authentication purposes and therefore no personal data is stored within the cookie.

How can you request a copy of your personal information?

Under the UK Data Protection Act 1998, you may request a copy of any personal details which are held about you by Encompass. A small fee may apply to cover the cost of producing this information.

    • Photo identification – i.e. a copy of your passport or driving licence;
    • Your signature and the date of the request;
    • If you are applying for information on someone else’s behalf, signed authority from the individual whose data is required.

If you believe that any personal information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address.
We will promptly amend any information found to be incorrect.

Encompass implement the highest level of security (of ISO27001 standard) in its business practices, ensuring your personal data remains safe and secure at all times.
Every booking made on our website is protected by a valid SSL certificate that ensures all data transfer is encrypted. Our certificate can be verified as legitimate by clicking on the little padlock that is displayed within your web browser’s address bar.
